Job Description:

Position Overview: 

Miami City Ballet’s Development Assistant works to support organization-wide fundraising efforts. This position will report to the senior Development staff to support the Development Team at large – managing correspondence, meeting coordination, donor acknowledgement, and bookkeeping, as well as providing logistical support for special events and company performances, among other regular tasks. 

General Administrative
  • Prepare donor acknowledgements and/or tax receipts
  • Work with the development team to track and fulfill schedule of benefits
  • Manage the collection and organization of donor data for season program book
  • Coordinate meetings and related materials
  • Donor correspondence and scheduling on behalf of the department
  • Provide administrative support for the department
Database Support
  • Process and track daily donations in Tessitura
  • Work with the Database Manager to produce and distribute contributed revenue reports
  • Assist with tracking and producing departmental invoices and gift reminders
  • Track all departmental expenses for a monthly report to the CFO
  • Assist in ensuring a clean and efficient database system management
Special Events Support
  • Provide event support at specified donor events and functions
  • Attend MCB performances and functions as required
  • Manage and track invitation mailings as needed

Job Requirements:

  •  Working knowledge of or ability to learn Tessitura and other support databases
  •  Minimum of two years of experience in an administrative support position, preferably in a nonprofit/ arts development office
  •  Excellent interpersonal, verbal and written communication skills
  • Ability to work evening and weekend hours
  • Comfortable working with high profile individuals
  • Ability to work efficiently and independently
  • May be required to lift and/or move 20 pounds of materials
  • Associate’s or bachelor’s degree in a related field or equivalent field experience
