Job Description:

The Bass Assistant to the Director will play an integral role in the museum. S/he will be responsible for all administrative tasks involving the executive office, including record keeping and filing, coordinating the director's schedule, miscellaneous research, and organizing materials for meetings. The Assistant to the Director will actively participate in the museum's development activities, specifically writing, managing and tracking the grants calendar, interacting with the Board of Directors and liaising with the City of Miami Beach.
This position requires maturity, discretion, and the ability to multitask, as well as superior organizational skills. It requires prior experience in grant writing and the flexibility to work on weekends, early mornings, and late evenings, as necessary. The position reports directly to the Executive Director.
  • Handle all communications required of the executive office: answer telephone, check main fax line, email and mail correspondence and in many cases, serve as liaison between Executive Director and staff.
  • Perform routine administrative tasks: letters, memoranda, agendas, forms, reports, power point presentations, etc. using word processing, spreadsheet, database and/or other presentation software such as Microsoft Office, Power Point or other programs.
  • Filing, maintaining, and sometimes creating all records of the executive office including board documents, contracts, etc.
  • Schedule and coordinate appointments for Executive Director (with Board members, City of Miami Beach, committees and other). This includes making arrangements for onsite and offsite meetings/dinners including catering, water, coffee, AV equipment, office materials, and follow up tasks. Minor clean-up after meetings might be necessary.
  • Arrange travel for the Director and others as needed.
  • Assist with Development tasks such as fundraiser and fundraising events, attend meetings and represent the museum on and offsite.
  • Other administrative duties as assigned by the Executive Director.
  • Conducts the full range of activities required to research, write, prepare, submit, and manage grant proposals to foundations and state, local, and federal government sources.
  • Maintains current records in database and in paper files, including grant tracking and reporting. Tracks statistics relevant to development and provide department with necessary written materials.
  • Attends grant meetings on and offsite.
