Job Description:

Event Specialist
The Event Specialist is a driven, detail-oriented member of the museum’s team that oversees the logistics of all MOCA events, programs and facility rentals. Reporting to the Guest Experience and Operations Manager they are responsible for meeting annual facility rental goals and ensuring that the vision for each program and event is executed in a well-organized, cost-efficient manner.  
 
Major Areas of Responsibility

Facility Rentals
  • Create and execute annual facility rental strategy to increase annual earned revenue goal.
  • Research, identify, and secure facility rental prospects.
  • Manage all aspects of facility rentals, including applications, site tours, contracts, planning, invoicing and facilitation of logistics for the event onsite.
  • Maintain accurate facility rental documentation through Group Sales in Altru.
  • Foster and manage partnerships with the City of North Miami and community partners to ensure that approved events at the museum further strategic goals.
Event and Program Logistics
  • Organize, coordinate and implement all logistics related to MOCA events and programs
  • Work closely with all departments, especially Education, Development, and Communications, to ensure that the programmatic vision for all events is feasible, on brand, and furthers MOCA’s strategic goals.
  • Standardize and implement interdepartmental process for event requests.
  • Lead bi-weekly events meetings ensuring timely follow up and logistical coordination between departments.
  • Track expenditures and work with department heads to guarantee events and programs remain within budget.
  • Secure in-kind partnerships to elevate internal events, including beverage and food sponsors, and engaging pop-up activations.
  • Manage the Master Calendar with input from key staff, ensuring no conflict between events, programs and rentals.
  • Build program pages in Altru and track registration and attendance as needed.
  • Coordinate staffing, security, and janitorial needs for all events and programs.
  • Act as the on-site coordinator for all events and programs.

Job Requirements:

Qualifications
  • 2-3 years of experience in event coordination.
  • Superior verbal and written communication skills, as well as professional interpersonal skills.
  • Experience working with point of sale and customer relationship management systems.
  • Ability to work well in a small, entrepreneurial team environment.
  • Experience working in the arts and culture sector strongly preferred.
Requirements
  • High School Diploma required. Bachelor’s Degree preferred.
  • Mastery of Microsoft Office Suite 
  • Experience with Point of Sale systems
  • Experience with Altru or other databases
  • Gala Management Experience preferred
Desired
  • Bilingual in English and Spanish or Haitian Creole
 
This is a full-time, salaried position, with evening and weekend hours required as needed. Flexible scheduling and comp time are available with prior approval. A level 2 background check will be required upon offer of employment.

Compensation: Salary starting at $48,000 annually, commensurate with experience and including an excellent benefits package
